Event Manager, Open Space for Arts and Community

Position Summary
Open Space for Arts and Community seeks multiple Event Managers with exceptional customer service skills. Event Managers are punctual, dependable, and friendly. This is an hourly position that requires some lifting.

Schedule: Event Managers work before, during and after events at Open Space. These typically occur on weekends and evenings. Hours are dependent on the length of the event or rental.

Our mission: Open Space for Arts & Community is where Vashon gathers to celebrate the unbreakable bond between arts and community.  We co-create extraordinary artistic, community building experiences that enrich and inspire all involved.  This position oversees all customer service interactions at each performance and demonstrates the culture of Open Space in every interaction with guests, vendors and talent.

Responsibilities:

  • Serve as the first point of contact and problem solver for renters and event attendees during load-in, production, and strike
  • Work with production staff and Front of House Manager as a team to execute day-of-performance duties
  • Provide access to Open Space equipment and supplies as described in the event contract
  • Supervise Open Space venues and sign off renter strike
  • Serve as a liaison between on-site renters and Open Space staff
  • Ensure that Open Space policies and safety protocols are followed by all attendees, volunteers, and renters
  • Keep an accurate record of all space usage and a la carte additions as needed
  • Serve as point person for building security and safety of attendees
  • When needed, supervise volunteers and paid crew
  • Attend to guest concerns and questions
  • Set-up and teardown event spaces
  • Direct overflow parking to neighborhood and adjacent businesses

Front of House Manager, Open Space for Arts and Community

Position Summary
Open Space for Arts and Community seeks a Front of House Manager with exceptional customer service skills. This position requires fine-tuned organization, time management, and communication. The Front of House Manager is the face of Open Space. They ensure the success of performances and events by planning for and managing all aspects of front of house. This is an hourly position.

This position oversees all customer service interactions at each performance and demonstrates the culture of Open Space in every interaction with guests, vendors and talent.

Basic Responsibilities:

  • Work with production staff and event manager as a team to execute day-of-performance duties
  • Report on ticket sales
  • Recruit and manage box office staff
  • Prepare box office supplies, prepare ticket sale tablets, and print guest lists
  • Prepare cash boxes and secure all box office revenue post-event
  • Anticipate guest needs such as ear protection for children or ADA accommodations
  • Assure that the lobby and venue is guest-ready daily
  • Anticipate, print, and place signs or notices relevant to a particular show
  • Coordinate with presenters on merchandise sales for an event
  • Attend to guest concerns and questions
  • In cooperation with the Event Manager, ensure the safety of the audience and the facility
  • Communicate with the Stage Manager on the status of audience attendance and show flow
  • Process opening and closing paperwork specific to each event
  • Set-up and teardown event spaces
  • Make arrangements for overflow parking with neighborhood and adjacent businesses
  • Attend production meetings at the request of the production team in preparation for events or post event evaluations
  • Manage FOH inventory, including but not limited to, concessions, linens and tableware
  • Coordinate with caterers for special events
  • Manage major event rentals
  • Act as Open Space concierge at the main entrance on weekdays
  • Schedule cleaning of facilities

  • Exhibit highly professional verbal and written communications skills
  • Maintain confidentiality of communications and proprietary information
  • Have strong proficiency with the MS Office Suite and normal office equipment
  • Demonstrate curiosity about business operations and desire to learn and grow

This is an hourly position based on the production schedule. The salary range is $20 to $24 an hour based on experience, 20 to 30 hours/week and. No calls, please. Reply with your resume and cover letter.
